The NETWORK asbl is the data controller for the personal data collected through our activities and website.

  • Identity Data: First name, last name, nationality, and commune of residence (as required for Luxembourg asbl membership records).
  • Contact Data: Email address, phone number (if provided via WhatsApp or registration).

  • Event Data: Dietary requirements, professional affiliation (company/role), and image/voice recordings (photos/videos).

3.HOW WE USE YOUR DATA

We process your data based on the following legal grounds:

  • Performance of a Contract: To manage your membership and event registrations.
  • Legitimate Interests: To organize events, promote our activities, and facilitate networking between members and partners.
  • Legal Obligation: To maintain membership lists for the Registre de Commerce et des Sociétés (RCS).
  • Consent: For sending newsletters and capturing certain types of photography/videography.

4.THIRD-PARTY TOOLS AND DATA TRANSFERS

To provide our services, we use several third-party platforms. These providers act as data processors and have their own privacy standards:

  • Communication & Operations: Google Workspace (Email/Cloud), Slack (Member communication), and WhatsApp.
  • Event Management: Eventbrite (Registration and ticketing).
  • Social Media: LinkedIn and Instagram (Engagement and promotion).

5.DATA SHARING WITH PARTNERS AND SPEAKERS

As a networking organization, we collaborate with external parties to deliver high-quality programming. Your data may be shared as follows:

  • Sponsors (e.g., SelectHR): We may share attendee lists (name and professional title) with our sponsors for reporting and event evaluation purposes.
  • Hosts (e.g., Amazon, KPMG): When events are held at a host’s premises, we share attendee names for security, building access, and logistical planning.
  • Speakers: We may share attendee profiles or specific questions with speakers to help them tailor their presentations to the audience.

6.PHOTOGRAPHY AND MEDIA SHARING

We frequently document our events to share the community experience.

  • Capture and Use: Photos and videos are taken at our events to be used on our website, social media (LinkedIn, Instagram), and in the Luxembourg press.
  • Legal Basis: We rely on Legitimate Interest for general shots.
  • Your Rights: If you do not wish to be photographed, please inform the photographer or an event coordinator upon arrival. You have the right to request the removal of any photo where you are the primary subject by contacting secretary@thenetwork.lu.

7.DATA SECURITY AND RETENTION

We implement technical and organizational measures (such as access controls within Google Workspace and Slack) to prevent unauthorized access.

  • Retention: We keep identity data for the duration of your membership and as required by Luxembourg law for asbl records. Event-specific data is deleted once it is no longer necessary for the event’s evaluation or reporting.
